What is BeeBack?

BeeBack is a digital loyalty platform for your business. It replaces paper punch cards with stamps, points, and rewards your customers collect on their phones, and gives you analytics on repeat visits.

How do I set up my brand?

In the merchant portal, open Profile to add your brand name, logo, and colours. This branding appears on your loyalty cards and customer screens. Example: a cafe uploads its logo and picks a warm brand colour so its card matches its shopfront.

How do I create stores?

Go to Stores in the portal and add each location with its name, address, and details. Each store can have its own touchpoints and staff. Example: a business with two cafes creates one store per location.

How do I create touchpoints?

Open Assets & Touchpoints to create touchpoints (like a tap tag at the counter or a table). Assign each one an action, then write it to an NFC tag or print its QR code.

Reward tags vs Identifier tags

A reward tag adds a stamp or points every time it's tapped. An Identifier tag only recognises the customer so their purchase or visit can be matched, without awarding anything by itself.

When should I use a reward tag?

Use a reward tag when tapping should directly give a stamp or points, for example a 'tap to collect a stamp' tag at the counter for a simple punch-card style program.

When should I use an Identifier tag?

Use an Identifier tag when you want purchases to drive rewards (for example with Square), so the customer is recognised and their spend is matched automatically without double-awarding.

How do stamps and points work?

Stamps suit simple 'buy X, get one free' cards. Points suit flexible programs where customers accumulate a balance to redeem against different rewards. You can choose what fits your business.

How do customers claim rewards?

When a customer has earned a reward, they open the live reward screen in their wallet and show it to your staff, who confirm it to complete the redemption.

What does Square integration do?

Connecting Square lets purchases at your point of sale automatically award points or stamps to the matched customer, no manual tapping needed at checkout.

How does automatic point awarding work?

When a recognised customer pays through Square, BeeBack matches the transaction to their account and adds the points or stamps you've configured.

What is customer recognition?

Customer recognition is how BeeBack knows which customer made a purchase, usually via an Identifier tap or a linked payment method, so the right account is rewarded.

What does "Remember identified customers" mean?

When enabled, once a customer is identified their payment card can be remembered, so future purchases with that card are matched automatically without another tap.

How do unmatched POS transactions work?

If a Square sale can't be matched to a customer, it's held as unmatched. You can review unmatched transactions and, where appropriate, link them to the right customer.

How do I unlink a customer/payment method?

You can remove a link between a customer and a remembered payment method from the customer's record if it was matched in error or on request.

Why should Identifier tags be used instead of Reward tags when Square is connected?

With Square connected, purchases already drive rewards. Using Identifier tags avoids double-awarding, the tap identifies the customer while the purchase adds the points.

What data is used for each section?

Loyalty analytics use your BeeBack activity (visits, stamps, points, redemptions). Square analytics use your connected point-of-sale transactions. Each section clearly reflects its own data source.

Staff mode

How does staff scan a customer?

In staff mode, staff scan the customer's QR code to identify them before adding stamps, points, or completing a reward.

How does quick-add work?

Quick-add lets staff add points or stamps quickly using preset amounts, speeding up busy service. Example: a barista taps a preset to add points for a coffee purchase.

How do staff approve pending rewards?

Some rewards wait for staff approval. Staff review the pending reward and approve it to release it to the customer.

How do staff reverse mistakes?

If points or a reward were added by mistake, staff can reverse the recent action from the activity record to correct it.

Troubleshooting

Customer did not receive points

Check that the customer was identified (via tap or linked card) and that the transaction matched. For Square, review unmatched transactions and link the sale if needed.

Reward was claimed by mistake

Use the reverse option in the activity record to undo a mistaken redemption, then let the customer re-claim it when appropriate.

Open your unmatched transactions, find the sale, and link it to the correct customer. Encourage Identifier taps or linked cards to reduce unmatched sales.

NFC tag not opening

Make sure the tag was written correctly and the phone's NFC is on. Try tapping the tag again slowly, or use the printed QR code as a backup.

Customer cannot log in

Ask the customer to confirm they're using the same sign-in details they joined with. They can re-join from a touchpoint if needed, and you can look them up by their member details.

Uploaded images disappeared / media storage issue

If images you uploaded aren't showing, try re-uploading them. If the problem continues, contact BeeBack support so we can check your media storage.
